AWS Simple Email Services (SES)

We use SES to send transactional email. This is configured in each AWS environement (staging, multi-tenant production, etc.)

Limits

The default sending quota is 50,000 messages per day and send rate is 14 messages per second. We need to monitor usage and request limit increases as appropriate.

Requesting Production Access

We must use the AWS Console or CLI to request production access to SES in each AWS account. Here is the 'use case' statement we use:

  1. Use Case Overview: Pivot is a paid Software-as-a-Service (SaaS) application currently in private beta. We will be using Amazon SES exclusively for sending transactional emails to our users, not for marketing purposes.

  2. Email Sending Frequency: Our email sending frequency will vary based on user activity, but we estimate an average of 2-5 transactional emails per user per week.

  3. Recipient List Management: Our recipient list consists solely of users who have explicitly signed up for our service and agreed to our privacy policy. We maintain this list in our secure database and regularly update it based on user account status.

  4. Website Information: Our website URL is https://pivot.app (opens in a new tab) . As we are in private beta, access to the full application is currently limited to invited users.

  5. Bounce, Complaint, and Unsubscribe Management:

  • We have implemented automated systems to handle bounces and remove invalid email addresses from our database.

  • For complaints, we immediately unsubscribe the user from all non-essential emails and investigate the cause.

  • Each email includes clear unsubscribe instructions, allowing users to opt out of specific email types or all non-essential communications.

  1. Email Content: Our transactional emails include:

  • Account verification emails

  • Password reset notifications

  • Important account updates

  • Transaction confirmations

  • Service usage summaries

  1. Compliance and Best Practices: We are committed to following all applicable email regulations and AWS best practices. This includes:

  • Only sending emails to verified users

  • Providing clear opt-out instructions in every email

  • Promptly honoring unsubscribe requests

  • Maintaining a clean and up-to-date recipient list
